Regular Email / Folders Cleanup Routine?

Postby ptrikha21 » 23 Mar 2025, 16:01

Many of you like me would be active Online folks with access to multiple sites and apps.
That means that you would be receiving regular emails and even sms and messages on apps like WhatsApp.
Besides, usage of official and unofficial content means having files of information - Text/Doc etc. to save.
Plus video and image files.
No doubt, these would grow over a period of time.

One can buy External hard drives, Flash/USB/Pen drives to store much of the content.
Plus have mobiles & laptops with more & more storage.
Yet at one point of time, the content would have grown to a big big extent.

May be 500 GB +.
Or even more than 1 TB.
And even 250 GB + could be quite a big amount for many of us.

So do you have a regular routine of cleaning up what is junk, what is no longer needed?

I do it sometimes although I do not have a "routine".

What about you?

I am eager to know your responses & feedback and what practices you follow?

Have a nice day !

I try my best to keep the email piles in a manageable condition. I have one folder where I move and keep site and policy updates, such as policy changes for google, paypal, my email provider and other "legaleeze" content I may need for some later reference.

I have a second folder where I move and keep family exchanges that include family oriented photos, links to family related websites and other content that may have future interests in family matters.

I have a third folder where I keep documentation of receipts, warranties and other exchanges with vendors for my online purchases. You never know when you might need something in that file.

I also receive repeated content from multiple providers on a regular basis. I select those I want to view and then move them to the delete folder. There are times there may be a dozen messages from a single source and I regularly select all after I have read them and send them off to lala land. I usually end up deleting several dozen groups to the delete file almost every time I log in to my email and empty that folder on a regular basis. I have never had the need to go back and look at them again and see no need to use up space just to store them forever. I also empty the spam folder every time I empty the trash folder. I take a few minutes to review the content before I delete it just in case the email server misidentified something I want.

As a result, I have a pretty good handle on the piles of email. I usually have completely empty Spam and trash folders and have no unread files in my inbox. I have no way to actually know, but it would not surprise me if I have eliminated well beyond 100,000 emails over the years and just keep the ones I might actually use later. I might have even deleted more emails than Hillary. :D

I also follow Folder wise segregation but I have multiple Gmail accounts and on some, I am not often able to keep pace and sometimes get messages like "Your Gmail is xx% full (often between 85 and 95 %)
.
So that is still an area of improvement.
In case of my official emails, I fare better perhaps because of a much lower volume of emails with just a few promotional ones.

I understand the importance of deleting unnecessary items. Creating a routine is very important.
I delete emails that I no longer need, delete photos that are duplicates, and delete old files that I no longer use. This not only gives me more space, but it also helps to reduce stress.

That is a healthy practice. Clearing out digital clutter makes devices run smoother and also gives peace of mind, because you only keep what truly matters. From experience I know this works well.

This is quite vital. These practices help us a lot. Mindless clutter is never good.

Yes, such a practice is really helpful. Now I realize that one of my laptops seem to be getting heavier in its cache.

I don’t have a strict routine, but I clean up occasionally. It helps to set aside some time to delete junk and organise important files.

Yes a devoted time always helps. At times, it can be a challenge identifying emails to remove but after spending some time, one can make out and do the needful.
